Excel to PDF Without Cut-Off Columns

The most common complaint about spreadsheet PDFs is the last three columns landing on page seven. Excel has fit-to-page settings, but they hide in Page Layout, and many people are not at a computer with Excel. Why spreadsheets print badly

Screens scroll, paper does not.

On screen a sheet can be as wide as you like. A sheet of A4 paper is about 21 cm wide. When a sheet is printed at its natural size, columns that do not fit move to extra pages, and the reader has to lay pages side by side to follow a row. Headers only appear on the first page, so page three is a wall of numbers without labels.

Three settings solve most of this: scaling the columns to fit the page width, repeating the header row on every page, and turning wide sheets to landscape.

Fit to width, orientation and text size

The settings that do the heavy lifting.

Fit all columns on one page width measures your column widths and shrinks the text and columns together until the table fits between the margins. Orientation on Auto picks landscape when the sheet is wider than a portrait page, which keeps the text larger. Text size sets the starting size from 8 to 12 points before any scaling.

Very wide sheets can still end up with small text. In that case choose A3, or switch Scaling to Actual size, which keeps the text size and moves extra columns to following pages with the first column repeated so each row stays identifiable.

Headers, gridlines and page numbers

Small ticks, big difference.

Repeat the first row on every page prints your column headings at the top of each page a sheet runs onto. Bold, shaded first row makes that header stand out. Show gridlines draws thin grey cell borders, which help readers follow rows across the page. Sheet name as a title labels each sheet, and Page numbers adds Page 1 of N at the bottom.

Print areas, hidden rows and merged cells

The converter reads what Excel saved.

If you set a print area in Excel, only those cells are converted, and a note says so. Hidden rows, columns and sheets are left out unless you tick Include hidden rows, columns and sheets. Skip empty rows and columns trims blank space, so a table that starts at row 5 does not print four empty rows first.

Merged cells stay merged. Numbers are printed as Excel displays them, with the same decimal places, currency symbols and date format, and they are right-aligned the way Excel shows them. Formulas are not recalculated; the value saved in the file is printed.

Text PDF or image PDF

It depends on the language in your cells.

A text PDF writes each cell as real text in a built-in PDF font. It is small, sharp and selectable, but those fonts only cover Latin characters. If a sheet contains Hindi, Tamil, Arabic, Chinese or similar text, the Auto setting switches to an image PDF, where pages are drawn as pictures so every character shows, with a search layer for any Latin text.

For selectable text in any script, press Print / Save as PDF and choose Save as PDF in the print dialog.

  • Invoice list in English: Auto gives a text PDF.
  • Price list with Gujarati product names: Auto gives an image PDF.
  • Marksheet in Hindi that must be searchable: Print / Save as PDF.

A worked example

A 14 column sales report.

Take sales-q3.xlsx with three sheets: a summary, a 14 column transaction list of 600 rows, and a hidden sheet of lookup values. Drop it in and the sheet list shows Summary and Transactions ticked, with the hidden sheet unticked. Keep A4, Auto orientation and Fit all columns on one page width.

The transaction sheet is wider than a portrait page, so it turns landscape and the text is scaled to fit all 14 columns. The header row repeats on each of its pages, gridlines keep the rows easy to follow, and each sheet starts on a new page with its name as a title. The summary, which is narrow, stays portrait at full size.

What is not kept

A clean table, not a copy of the formatting.

The converter prints values, not formatting. Cell fill colours, fonts, custom borders, conditional formatting, charts, pictures and comments do not appear. Excel's own manual page breaks and page headers are not read either; pages break where the rows run out of space. If a sheet relies heavily on colour to convey meaning, add a text column for status before converting.
