How to Fill Out a PDF Form Online, Fillable or Not

Application forms, tax declarations, school consent slips and supplier onboarding packs still arrive as PDFs. Some have proper fillable fields; many are just printed pages saved as PDF. Fillable and flat forms

Know which one you have.

A fillable PDF, sometimes called an AcroForm, has fields built into the file. Each field has a name, a type and sometimes a list of options or a character limit. A flat form has none of that; it is a picture of a form, or a document with lines where you would write by hand.

When you open a PDF here, the side panel says how many fillable fields it found. If the count is zero, the form is flat, and the tool switches to Add text so you can start typing where you click. Either way you finish with the same result: a completed PDF.

Filling fields on the page

Each field appears as a lightly outlined box over the page, in the spot where the form designer put it. Click a text field and type; multi-line fields accept line breaks and character limits are respected. Check boxes tick with a click. Radio buttons select one choice, and clicking the chosen one again clears it. Drop-down menus show their options, and some let you type your own answer. List boxes allow one or several selections.

Tab moves through the fields in reading order, top to bottom and left to right on each page. If the boxes get in the way of reading the form, Hide field boxes swaps the outlines for a faint underline while leaving the fields active.

The field list and required fields

Show field list opens every field in a single column, with its label, page number and an asterisk for required fields. It suits long forms, small screens and screen reader users, and it is often faster than scrolling through pages.

The panel keeps a count of filled fields and required fields still empty. After you download, the message names any required fields left blank, so nothing gets sent back half done.

Filling a form that has no fields

For flat forms, four tools do the work. Add text places a text box where you click, in the font, size and colour you choose. Date inserts today's date in the format you pick, such as 31/12/2026 or 2026-12-31. Tick and Cross put a clean vector mark in a box. White-out covers anything that needs correcting, and Draw lets you add initials by hand.

Every item can be selected, moved, resized, restyled or deleted, and undo and redo cover each step. These items are drawn into the page when you download, so they look the same in every reader.

Saving answers for next time

Some forms come round again and again: a monthly expense claim, a yearly declaration, the same supplier form for each new client. Save data (JSON) downloads a small file holding each field's name and your answer. Next time, open the same blank form, press Load data, pick the file, and the fields fill in at once. You can then change only what is different.

The data file never contains the PDF itself, and it is saved to your device only. Keep it somewhere private, because it holds exactly what you typed.

A worked example: a two-page rental application

Input: rental-application.pdf, a fillable form with 38 fields across two pages. Open it and the panel reports 38 fillable fields, 6 of them required. Click the first name field and type, then press Tab to move through surname, date of birth, current address and phone. Tick the box for pets, choose Employed from the employment drop-down and pick the monthly income band from the radio buttons.

Page two asks for a signature and date at the bottom. Choose Date and click beside the date line to place today's date, then use Draw to write your initials. Tick Flatten, press Download filled PDF, and rental-application-filled.pdf is ready to email. The message confirms 31 fields filled and names one required reference field still empty, so you go back, fill it and download again.

Flattening and fonts

Tick Flatten before downloading when the form is final. Your answers become part of the page and the fields are removed, so the values cannot be edited by accident and appear the same in every PDF reader. Leave it off if someone else still has to add their part.

Changed fields are redrawn in Helvetica. That font covers English and most Western European languages. If you type text it cannot draw, such as Devanagari or Chinese, the value is saved in the field and your PDF reader draws it, and the form is not flattened so the answer is not lost. The download message tells you when this happens.

  • Forms built only with Adobe XFA may show no fields; fill those in Adobe Acrobat Reader.
