Word to PDF in Your Browser: What Stays the Same

Turning a Word file into a PDF is usually one click inside Word. But you might be on a phone, a shared computer, or a Chromebook without Office, and uploading a confidential document to an unknown server is not appealing. The Word to PDF Converter does the job inside your browser. This guide covers what it keeps, where it differs from Word, and how its two output buttons compare.

What happens when you press Convert

The .docx is read, not uploaded.

A .docx file is a ZIP folder of XML files: the text, the styles, the numbering rules, the pictures, the headers and footers. The converter opens that folder in your browser, resolves each paragraph's style chain (document defaults, then the style it is based on, then direct formatting) and builds a page layout from it.

Headings, fonts, sizes, colours, highlights, alignment, indents and line spacing come from those styles. Bulleted and numbered lists are counted the way Word counts them, so 1., 1.1 and a) patterns come out right. Tables keep their column widths, merged cells, borders and shading, and long tables continue onto the next page with their header rows repeated.

Why page breaks can move

Fonts decide where lines wrap.

Word decides where each line wraps based on the exact width of every letter in the chosen font. The converter uses the fonts installed on your device. If a document uses Calibri and you are on a phone without it, a close substitute is used, lines wrap a little differently, and a paragraph can slip onto the next page.

For most letters, CVs and reports the difference is a line or two. For documents where page breaks matter, such as a legal filing, convert on a computer that has the document's fonts, or use the page break options inside Word to force breaks where you need them. Headings are always kept with the paragraph that follows them.

Convert to PDF or Print / Save as PDF

Two outputs, two strengths.

Convert to PDF draws each page as a sharp image and adds an invisible text layer on top, so search, copy and screen readers work for Latin-script text. Links remain clickable. Because the pages are images, the file looks the same on every device, whatever fonts the reader has.

Print / Save as PDF sends the same laid-out pages to your browser's print dialog. Choose Save as PDF as the destination and you get real, selectable text in any language, usually in a smaller file. It is most reliable on desktop browsers, where the print dialog offers Save as PDF directly.

Changing the page setup

A4 for one client, Letter for another.

By default the PDF uses the page size, orientation and margins set in Word. You can override them: A4, US Letter, US Legal or A5, portrait or landscape, and None, Narrow, Normal or Wide margins. This is handy when a document drafted on Letter paper has to be submitted on A4.

Headers, footers and page numbers are included by default. PAGE and NUMPAGES fields show the right numbers on each page. Untick the option if you want a clean copy without them.

What is not converted

Honest limits.

Browsers cannot run Word's full layout engine, so a few features are simplified or left out.

  • Old .doc files: save them as .docx first.
  • Floating pictures and text boxes are placed in line with the text, without text wrapping around them.
  • Several text columns are shown as one column, and mixed page sizes use the last section's size.
  • Charts, SmartArt and embedded objects are left out; equations appear as plain text.
  • Different first-page or odd and even headers, comments and the tracked-change view.

Checking the PDF before you send it

The page previews under the result show every page of the PDF. Glance through them before you attach the file anywhere. The most common surprise is a heading or a table row that moved to the next page because of a font substitution, and the preview makes that easy to spot.

The notes panel under the result lists anything that was simplified, such as floating pictures placed in line or pictures in a format browsers cannot draw. If something important is missing, fix it at the source in Word, for example by converting a chart to a picture, and convert again.

  • Check the first and last page, where page numbers and headers are easiest to verify.
  • Search the PDF for a word to confirm the text layer works.
  • Open a link to make sure it is clickable.
